The pitch to a journalist is the short email that accompanies the press release — a clear subject, a body of at most 120 words, an attachment or a link, an available contact. It does not replace the release; it explains to the newsroom why the subject is relevant for their audience. It does not promise pick-up and does not assume the message will be opened — you only control clarity, relevance and availability.
What is a pitch to a journalist?
The pitch is the cover message sent to a newsroom together with the release. It differs from the release in function: the pitch argues the relevance for that particular publication; the release contains the verifiable facts, the same for every recipient. A pitch without the release attached or linked remains incomplete, whatever the relationship with the newsroom.

A pitch without the release attached or linked is incomplete. A release sent without context forces the editor to work out the relevance alone, and a vague subject can stop the evaluation before the attachment.
How do you structure the pitch email?
The pitch email follows a fixed structure of six elements — subject, greeting, relevance, central fact, action, signature — so the editor understands the message without opening the attachment. The body stays under 120 words; all the verifiable details sit in the release.
- Subject — identical or close to the release headline; prefix

- Relevance — one sentence: why the subject matters to the publication's audience (place, sector, numerical impact).
- Central fact — one sentence from the lead, without copying it in full.
- Action — release attached or linked; availability for clarifications (name, phone).
- Signature — your job title, not an invented one.

Rejected pitches consume time without conveying relevance — the editor archives them within seconds. The list below covers the mistakes that lead to being ignored or blocked, whatever the quality of the attached release or the previous relationship with the newsroom.
- Clickbait subjects — “URGENT”, “EXCLUSIVE” without a fact that justifies them.
- Mass emails without relevance — the same text to every newsroom, without one contextual sentence.
- Promises of coverage — “we guarantee an article” or “media partnership included”.
- Heavy attachments — 10 MB PDFs or uncompressed folders; prefer a link plus a file under 2 MB.
- Aggressive follow-up — a second message the same day, or repeated calls without a reply.
If a third party pays for publication, mention the commercial nature and identify the sender — Romanian Law 365/2002, Article 6(2) requires identification of the communication and of the person on whose behalf it is made. How do you personalise without altering the facts?
Personalisation touches only the relevance paragraph — you do not change the figures or the date in the release for each recipient. A pitch for a local newspaper stresses the regional impact; one for a business portal stresses the figure or the market — the facts stay identical. For sports events with calendar information, the sports press note may be the right format — the same pitching principle, a shorter document.

Do not send different versions of the release with contradictory facts — a single document, adapted pitches.
When do you follow up with a second message?
A follow-up is acceptable after 48–72 working hours, short and without reproach — not on the same day as the initial message. The structure below avoids escalation; the second message adds new information or reminds them of the contact, not pressure or complaints.

- one new sentence only if you have updated information;
- restate the contact availability.
A second message the same day or repeated calls raise the chance of being blocked. Silence may mean irrelevance, not negligence — change the angle for the next subject, do not increase the pressure.

Checking the email before sending
Go through the list below before every send to a newsroom — do not reverse the order of the checks. The first four points cover the clarity of the message; the last four cover attachments, legal labelling and factual consistency with the release sent.

Frequently asked questions
Does the pitch have to be sent in the morning?
There is no magic hour. Send it when the release has been finally checked internally. Avoid the weekend for non-urgent subjects — news desks have a different flow from weekly magazines.
Can you send the same pitch to dozens of newsrooms at once?
Yes, if each message has its relevance sentence adapted. Mass BCC with the same generic text is rejected by spam filters and by editors. Send individually or in small, personalised batches.
Do you have to include photographs in the pitch?
It is not mandatory, but a link to a compressed folder (caption, credit, resolution) helps TV and online newsrooms. Do not bury the only image in a PDF with all the text.
Does the pitch replace a relationship with a PR contact?
No. The pitch is the sending tool; the relationship is built through consistent facts over time, not through aggressive follow-up messages. One clear pitch beats five vague messages.
Does a good pitch guarantee publication?
No. A clear message lets the editor assess the subject quickly, but it does not decide publication. No supplier and no publishing platform can promise an appearance in a particular publication.
